The information below is based on verified reviews from real Celoxis users. Keep this in mind as you’re evaluating the software for yourself. 

What Celoxis Is Good At

It’s no coincidence that many businesses of different sizes rely on Celoxis for project management. The software definitely has its fair share of strengths that rival or even edge out popular, competing PM tools. Let’s take a closer look at where Celoxis excels.

One fully featured plan: Celoxis is one of the only project management tools on the market that doesn’t have a tiered plan system. Rather than having to upgrade just to access new or premium features, you’re getting everything that Celoxis offers with your subscription, from project request tracking and automatic scheduling to task and project dependencies, milestones, profit tracking, and so much more. You can even set up a free client portal to keep stakeholders looped in on project progress. 

Project portfolio management: The ability to manage multiple projects at scale is arguably the biggest standout of Celoxis compared to other tools in this space. The software even has advanced tools for capacity planning, so you can look ahead to see how your resources are changing daily, weekly, or monthly. If someone is overloaded, you’ll get instant notifications so you can make the necessary adjustments before issues arise.

Built-in budgeting: Not every project management tool comes with budget management features. Fortunately, Celoxis does—and it’s extensive. It’s easy for project managers to monitor project budgets no matter how it’s being billed. Celoxis can monitor project budgets based on hourly rates, flat fees, or contracts. 

The platform also supports finance tracking at the task level. This means you can monitor the costs of specific tasks based on hourly rates, fixed time, materials, and more. While this doesn’t extend to a billable feature, you can still track which tasks and projects have been billed to your clients and which ones have not from directly within the software. 

Time tracking: You’re likely noticing a theme. Celoxis removes the need for many third-party tools, including time tracking. All of your tasks include a timer feature that can be used to track how long it’s taking to complete different deliverables. Team members and project managers have the ability to start and pause the timer as they’re moving from task to task and working on multiple tasks simultaneously. 

Once timed tasks are completed, they’ll be added to the time log. This will help you see the completion status of tasks as a percentage of total project time. Project managers love this feature, as it helps give them more insights as they’re planning time for similar tasks in the future. Plus, in combination with the budgeting and resource planning features mentioned above, you’re likely to avoid the bad surprises other project teams encounter.

Versatile Integrations: While Celoxis is definitely packed with features, it doesn’t have everything built into the software. Fortunately, you can integrate the tool with other core platforms, like QuickBooks, Salesforce, Jira, and Freshdesk. Celoxis syncs with over 400 other apps, and you can even use the Celoxis API to set up custom integrations. 

What Celoxis Is Lacking

Few project management tools on the market are perfect, and Celoxis is no exception. While it has plenty of strengths and an impressive depth of features, there are still a few shortcomings that you should weigh against Celoxis’ virtues as you’re evaluating the software. 

Limited collaboration features: Like most project management solutions, Celoxis does offer basic team communication options, including the ability to tag users in task comments and team notifications. There’s no built-in team chat, though, which may or may not matter depending on whether an external solution like Slack can suffice.

Celoxis is also rather limited when it comes to file attachments and collaborative document work. For example, to comment on a shared file, users must download it and edit it elsewhere before uploading the new version back to the task. This workflow doesn’t work well for teams that need to constantly work on files together. 

Stingy with storage space: Users get just 2 GB of storage space on Celoxis by default. For some project teams, that may be more than they’d ever need. But if you’re working on imagery, videos, animations, publications, or other heavy project materials, that’s not going to cut it. You can pay for extra shared storage space at a steep rate of $10 per month for every extra 10 GB you need. 

Not affordable for small businesses: Overall, Celoxis is on the expensive side when you compare it to other popular project management tools on the market. The one pricing plan is $25 per user per month. There’s no limited free or entry-level plan to tap into some of its features at a more palatable price. 

While you can reduce that monthly rate to $20 per user by paying for three years up front, there’s also a five-user minimum requirement. So, Celoxis will cost you no less than $100 per month, and to get that lowest possible rate, you’ll have to invest $3,600 at checkout.

No mobile app: Another big drawback is its lack of a dedicated mobile application for Celoxis. It’s worth noting that the web version is mobile responsive. But in this day and age, a mobile-friendly site really isn’t a replacement for a native mobile app. If you and your team like to work on the go, Celoxis may not work well for your workflow, especially for projects requiring users to access files and send updates from the field. 

Complicated onboarding: Some users reported issues with the Celoxis interface that made the initial deployment and setup process a bit tricky. This was especially true with setting up user roles and access permissions. Fortunately, Celoxis offers free support, so you can reach out for assistance if you’re struggling during the setup process. 

Celoxis Options and Pricing

Celoxis is a unique tool in the project management software category for its depth of features and pricing structure. There’s just one primary plan for most organizations and needs that comes with all of Celoxis’ features, which is the cloud-based version of the software. However, there is an on-premise deployment option that contains a couple of differences from Celoxis Cloud. 

Celoxis Cloud

Celoxis Cloud is the most popular deployment of the Celoxis PM platform. Your team will benefit from a web-based project management interface that comes with free support and 2 GB of file space per user. Additional storage, shared by all users on your Celoxis Cloud plan, can be purchased for $10 per month for every 10 GB you need. Add clients and virtual users to the plan for free.

Your purchase comes with everything that Celoxis has to offer, including project request tracking, time tracking, budgeting, full portfolio management, and more. The great part about Celoxis is its ability to aggregate the information associated with multiple projects so you can track all of the most important information and KPIs across your entire portfolio.

Celoxis also makes it easy to manage your resources across every project and team. This is ideal for capacity planning or tracking labor capabilities across multiple locations, especially since Celoxis can even track holidays and time off. Celoxis will even notify you if teams or individual users are overloaded with tasks. 

Celoxis Cloud starts at $25 per month with a five-user minimum, meaning the software really starts at $125 per month with $25 for every additional user you need. 

Annual contracts are eligible for a 10% discount, with two-year and three-year contracts giving you 15% and 20% off, respectively. That means you can lower the monthly per-user fee to $20 if you’re able to commit long-term and pay the full total ($3,600) on day one.

Celoxis On-Premise

The on-premise deployment of Celoxis is an enterprise-grade version of the software. It still comes with every one of the great features of Celoxis Cloud, except it’s hosted on your own servers and only requires a one-time payment. 

This solution is ideal for large organizations seeking a tool that seamlessly integrates with their own custom IT environments and solutions. This option might work best for you if you want total control of how the software is provisioned and made available to your staff. Just make sure you have the right infrastructure and internal staff to help support this heavier deployment.

If you’re planning to use Celoxis for years to come, the on-premise option can save you some serious money in the long run. You’re billed only once for each user license. These licenses are transferable if one of your employees leaves the company, too. 

However, pricing for Celoxis On-Premise is not available on the Celoxis website, so there’s no certainty on what this will actually cost you. Based on user reviews we’ve examined, it looks like the going rate is around $450 per user, with a five-user minimum.
